Polly Jackson Creative ("we", "us", "our") provides content design and visual storytelling services (video, photography, and branded digital assets) for founder-led businesses. This policy explains what personal information we collect through this website (pollyjacksoncreative.com), why, and what rights you have over it. We're a UK-based business, so this is written to meet the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 - with a short section further down for clients based in Australia.

WHAT INFORMATION WE COLLECT

  • Enquiries: When you use our contact form or email us, we collect your name, email address, business name (if given), and the contents of your message.

  • Client/project information: If you become a client, we collect the information needed to deliver your project - for example, your business details, brand assets, footage, photos, and any other materials you share with us for content creation, plus contact and invoicing details.

  • Website usage data: Our website is built on Squarespace, which places some cookies to make the site work. We don't currently run separate analytics or advertising tracking tools on the site. See our [Cookie Policy] for full details.

WHY WE USE YOUR INFORMATION & OUR LEGAL BASIS

Responding to enquiries: Name, email, message content. Legitimate interest (answering your enquiry)

Delivering a project you've commissioned: Project materials, contact and invoicing details. Performance of a contract with you

Keeping accurate business/accounting records: Invoicing and contact details. Legal obligation

Running the website: Essential cookies. Legitimate interest (site functionality)

WHO WE SHARE YOUR INFORMATION WITH

We don't sell your personal information. We may share limited information with:

  • Squarespace - our website host and platform provider.

  • Trusted subcontractors or collaborators, where needed to deliver a project (e.g. an editor or second shooter), and only what's necessary for the job.

  • Our accountant/bookkeeping software, for invoicing and tax purposes.

HOW LONG WE KEEP YOUR INFORMATION

  • Enquiry messages are kept only as long as needed to respond, then deleted if they don't turn into a project.

  • Client project files and invoicing records are kept for the length of the working relationship, plus as long as required by UK tax law (currently up to 6 years) for financial records.

YOUR RIGHTS

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you

  • Correct inaccurate information

  • Request deletion of your information

  • Restrict or object to how we use your information

  • Data portability

  • Withdraw consent at any time, where we rely on it

If you're unhappy with how we've handled your information, you can complain to the UK's regulator, the Information Commissioner's Office (ICO), at ico.org.uk.

FOR CLIENTS IN AUSTRALIA

Some of our clients are based in Australia. If that's you, we handle your personal information consistently with the Australian Privacy Principles under the Privacy Act 1988 (Cth) as well as UK GDPR — in practice, this means the same commitments above apply to you: we only collect what we need to deliver your project, we don't sell your data, and you can ask us for access to, or correction of, the information we hold about you at any time by emailing polly@pollyjacksoncreative.co.uk. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

SECURITY

We take reasonable technical and organisational steps to keep your information secure, including using a website platform (Squarespace) that encrypts data in transit (HTTPS) and storing client project files in access-controlled cloud storage. No method of transmission over the internet is 100% secure.
